Prepare an Excel workbook for a clean PDF

Fix cut-off columns, stray blank pages and tiny text before converting XLSX to PDF.

Set the print area

Select only the cells that should appear, then set the workbook print area. Old formatting far to the right or below the visible table can create unexpected blank pages.

Choose scale deliberately

Fit all columns to one page wide when horizontal clipping is worse than smaller text. For large tables, use landscape orientation and a larger paper size before shrinking the content.

Repeat headings and check breaks

Repeat the header row on every printed page and inspect manual page breaks. A conversion engine generally follows saved print settings; it cannot infer your preferred layout.

Know what will not refresh

A safe converter should not contact external data sources. Refresh linked queries in Excel first, save the workbook and convert the saved values.
